01 / For independent insurance agency owners

You don't have a software problem. You have a systems problem. And nobody ever architected it.

We architect, build, and run one system your agency owns. Insurance specific. Delivered in 90 days. In writing.

The 8 minute brief for agency owners

Jerrod is recording the full brief this week. The short version: your stack grew one tool at a time, nobody architected it, and we fix that in 90 days with the outcomes in writing. The 30 minute diagnostic covers the rest.

Your stack grew one tool at a time. Nobody designed the whole.

The AMS came with the book. The rater came with the carrier. The quoting tool came with a conference. The email tool came with a free trial. Every new need got answered with another product, and every product works, more or less, on its own.

Here's the part nobody says out loud: you are the integration. A renewal gets pulled from the AMS, retyped into the rater, pasted into an email, and logged in a spreadsheet. Same client, four screens. And somebody on your team, everybody knows who, quietly holds it all together. That job isn't on any org chart.

And it isn't just slow. It's exposure. When the notes on one client live in three places, that's an E&O problem waiting for a bad week. If it isn't documented in one place, it didn't happen.

If you own an independent agency, some of these are yours.

We've sat across the desk from every one of them.

  • A carrier asks for an audit and your stomach drops. Could you pull it together in an hour?
  • Count the tools your team touches before lunch. If you need both hands, this is you.
  • Every renewal gets rekeyed by hand. Same client, four screens.
  • One person quietly holds it all together. Everybody knows who. That job is on no org chart.
  • If your best person took two weeks off, no phone, what would stop moving?
  • You paid a consultant who diagnosed everything and built nothing.
  • The platform you bought won't flex. And support is a ticket queue.
  • Leads sit overnight. Renewals slip. Follow up lives in someone's head.
  • You don't need another tool. You need someone to zoom out and architect the whole.

Whichever line is yours, that's what the diagnostic is for. Thirty minutes on how your agency actually runs. You keep the findings.

Book My Free Diagnostic No pitch. If we're not the right partner, we'll say so on the call.

The Systems Realignment System™

One system for the whole operation. Architected first, then built, then run. Delivered through a 90 day engagement we call The Systems Realignment Sprint. Four steps, in order. The numbers beside them are why owners hand us the keys.

Start with the diagnostic
01

Strategize

Map the whole operation

People and pipelines, tool by tool. You get an itemized plan: keep, consolidate, replace, integrate. In writing, before a dollar of build. Even if we're never the right partner, you leave with a clearer picture of your agency than you've ever had.

02

Synthesize

Architect, then build

Built around how insurance actually works. Policies live as real records, not a hundred extra contact fields. Your tools get woven into one operating surface, with a portal your clients can actually use.

03

Sanitize

Power wash the data

Clean, dedupe, validate. Then a controlled go live: your old system stays live in parallel. No downtime. No lost leads. We flip the switch only when you sign off.

04

Standardize

Your team owns it

Runbooks, training, and an early finish on purpose. The front end belongs to your people, not to us. You coast into your busy season rested, instead of scrambling through it.

The guardrail / Ownership

One system your agency owns. Your data, your workflows, your client relationships, your phone numbers, all in your agency's name. Export anything, anytime. If you ever wanted to run it yourselves with one or two people, you could.

Jerrod Appenzeller spent 13 years inside Wells Fargo running model risk and analytics, stress testing a three trillion dollar book as the youngest executive director in the room. Zero failed audits. Before banking, frontline infantry with the 101st Airborne.

He walked away from the executive salary to bring that discipline to the businesses that actually need it. Ultimum is Latin for "at last."

"Agency owners get pitched by people who've never sat inside a regulated business. I have, for 13 years. If we're not the right partner, I'll tell you on the call, and you keep the findings either way."

We've replaced the tools you've already tried.

Not because the tools are evil. Because nobody had architected the whole, and one more subscription wasn't going to fix that.

Replaced

Agency Revolution

A cookie cutter platform the agency had outgrown. We architected the whole operation first, then moved it onto one system they own.

Replaced

Client Circle

Another subscription doing one job from the outside. That work now lives inside the system, not beside it.

Replaced

AgencyBloc

A legacy AMS at the end of its cycle. Policies now live as real records, in a system built around the book.

Stopped

An AMS purchase

One agency was about to buy an AMS it didn't need. We told them to keep their money. That's what architect first means.

A fit, and not a fit.

This is for you if

  • You own an independent agency. P&C, Medicare, life, or annuities.
  • Your team runs the day across five or more tools and rekeys the same client data between them.
  • You want one system your agency owns, with the outcomes in writing.

This is not for you if

  • You're shopping for leads or a marketing retainer. We don't sell either.
  • You want a cheap seat to babysit a tool you already have.
  • You want a silver bullet by Friday. Real systems take 90 days.

A note on timing / The calendar is the deadline

The Sprint runs 90 days. Start now and a Medicare shop is live before AEP opens October 15. A P&C shop is live before January 1 renewals. Start in October and you've lost the year. That's not a countdown timer. It's just the calendar. And if you're already mid AEP when you read this, the honest answer is wait until December. We'll tell you that on the call too.

The outcomes get written down before the build starts.

Document / Committed outcomes Signed before the build

In the first step of the Sprint, we write down the outcomes we're committing to. Itemized. Specific. On paper. That document becomes the spec for the build.

Deliver those outcomes in 90 days, or the sprint fee comes back.

The guarantee covers the sprint fee. Software subscriptions, usage, and third party costs are excluded. Data migration and AMS replacement work is scoped and priced separately, outside the guarantee. The 90 day clock starts when access is granted. Final terms are provided in your agreement.

What owners ask us.

No, because there is no hard cutover. We back everything up, verify it, and run your old system live in parallel until the new one is proven. You flip the switch when you sign off, not before. Nothing gets turned off until you say so.

That's our job, not yours. We architect, build, and run the system, which includes training your team and writing the runbooks. Adoption is a deliverable of the Sprint, not homework we leave behind.

GoHighLevel is the chassis, not the product. We build the insurance system on top of it, policy records, workflows, portal, and we run it in production. You will never file a ticket with a platform. We're your support. The platform maintains SOC 2 compliance on its side.

No. The system is in your agency's name: the data, the workflows, the phone numbers, the client relationships. Export anything, anytime. If you ever wanted to run it yourselves with one or two people, you could.

So have most of the owners we work with. This is not leads and it's not a retainer. It's a 90 day build with a defined finish line and the outcomes written down before we start. If we miss them, the sprint fee comes back.

It's the only timing. Ninety days from now lands before AEP and before January renewals, which is exactly why the window is summer. If you're already inside AEP, we'll tell you to wait until December. Out loud, on the call.

A diagnostic, not a demo. Jerrod prepares before you talk. You walk through how your agency runs today, where the rekeying and exposure live, and what one system would look like. You keep the findings whether or not we ever work together.
